General Privacy
We are firmly committed to respecting the privacy of our clients and mailing list recipients. If you are on our mailing list you will only receive communications from us that you have signed up to receive, or we believe are truly relevant to your interests. Please see our separate Policy Statement on Mailing Lists (below), and note that you can remove yourself at any time from one of our lists by using the Unsubscribe option that is included at least once in every email we send.

The Website
This website employs ‘cookies’ (see paragraph below) so that we can, occasionally, monitor general non-specific statistics relating to traffic visiting the site.
We never check or examine cookies individually. Analytical cookies allow us to monitor some very basic statistics about the website and the traffic that visits it. Using Google Analytics and other similar webmaster tools, we can assess the volume of visitors to the site, as well as where visitors are coming from, the links they have used to reach the site, keywords they may have used in search engines, and so forth. We do not have the facility to make any further use of the information that these generic cookies may contain, and they are, at all times, anonymous.
If you sign up to one of our Mailing Lists (see separate Mailing Policy below), the details you submit will be placed securely in our database. Those details allow us to ensure that you only receive the mailings that are truly relevant to you, and without this mechanism, it would be difficult for us to offer the kind of accurate and carefully targeted service of which we are very proud. In addition, these details will always remain accessible to you if you have signed up using our on-line facility, allowing you to log in at any time to check the details we hold, and update them accordingly.
Changing your browser settings to decline cookies will enable you to opt out of the anonymous analytical data collection, should you wish to do so, but it may also restrict the level of service that we can offer to you in the future.

Cookies

Privacy Statement
This Privacy Statement provides you with details of how we collect and process your personal data through your use of our site at Martyn Pass PR (www.mppr.co.uk). Martyn Pass, the Proprietor of the Business, is the legitimate Data Controller and is responsible for your personal data (referred to as “I”, we”, “us” or “our” in this privacy notice). It is important to you, and to us, that the information we hold is accurate and up to date. Please let us know if at any time your personal information changes by emailing us.
In the main, this Statement refers to contracted clients of MPPR, and not those who receive news and PR mailings from us. For these, please also see our separate Policy on Mailing Lists (below).
For the purposes of GDPR, Personal Data means any information capable of identifying you as an individual. That may be a named specific email address, your postal address, other details for a service we may have provided, and so forth. We may process the following categories of personal data about you, depending upon what our relationship has been:
- Communication Data. This includes any communication that you send to us whether that be through the Contact page on our website, through email, text, social media messaging, social media posting or any other communication that you send us. We process this data for the purposes of communicating with you, for record keeping and for the establishment, pursuance or defence of legal claims. Our lawful ground for this processing is our Legitimate Interests, which in this case are to reply to communications sent to us, to keep records and to establish, pursue or defend legal claims.
- Customer Data. This includes data relating to any establishment of a business relationship between yourself and MPPR, such as any agreement to offer Public Relations Management and Services to you as a client. This may include your name, title, billing address, home address, email address, phone number and any other pertinent contact and background information. We process this data in order to supply the goods and/or services that you have requested and to keep records of such services. Our lawful ground for this processing is the performance of a contract between you and us and/or taking steps at your request to enter into such a contract.
- User Data. This includes data, typically stored as Cookies, which record how you use our website and the online services we provide. We process this data to operate our website and ensure relevant content is provided to you, to ensure the security of our website, to maintain back-ups of our website and/or databases and to enable publication and administration of our website, other online services and business. Our lawful ground for this processing is our Legitimate Interests which, in this case, are to enable us to administer our website and our business properly.
- Technical Data. This includes data, typically stored as Cookies, about your use of our website and online services such as your IP address, your login data (if you have an on-line account with us), details about your browser, length of visit to pages on our website, page views and navigation paths, details about the number of times you use our website, time zone settings and other technology on the devices you use to access our website. The source of this data is from our analytics tracking system. We process this data to analyse use of our website and other online services, to administer and protect our business and website, to deliver relevant content to you and to understand the effectiveness of our advertising. Our lawful ground for this processing is our Legitimate Interests, which in this case are to enable us to administer our website and our business correctly and efficiently, and to grow our business and to decide our marketing strategy.
We may use Customer Data, User Data, Technical Data and Marketing Data to deliver relevant website content to you and to measure or understand the effectiveness of the content we offer you. Our lawful ground for this processing is Legitimate Interests, which is to enhance the service we are able to offer. We may, very rarely, also use such data to send other marketing communications to you. Our lawful ground for this processing is either Consent or Legitimate Interests (namely to grow our business)
- Sensitive Data. We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data. We do not collect any information about criminal convictions and offences.
Where we are required to collect personal data by law, or under the terms of the contract between us, and you do not provide us with the data requested, we may not be able to fulfil the contract (for example, to deliver our full range of services to you). If you don’t provide us with the requested data, we may have to restrict a service you have requested, but if we do, we will notify you at the time.
We will only use your personal data for the purpose for which it was collected, or for a reasonably compatible purpose if necessary. For more information on this please Contact us. We will only process your personal data without your knowledge or consent where this is required by law.
We may collect data about you when you provide that data directly to us (for example, by filling in forms on our site or by sending us emails). We may receive data from third parties such as analytics providers, including Google, based outside the EU, advertising networks such as Facebook based outside the EU, search information providers such as Google based outside the EU, providers of technical, payment and delivery services, such as data brokers or aggregators.
Disclosure of your Personal Data
We will never normally disclose or share your Personal Data with anyone else. However, there may be rare occasions when this is either necessary, or our legal obligation. This may include:
- Other companies who provide services to us and facilitate our provision of our services to you. This may, for example, include race teams, manufacturers and sponsors, as well as circuit operators and championship organisers who may request information pertinent to your interests.
- Service providers who provide IT and system administration services.
- Professional advisers including lawyers, bankers, auditors and insurers.
- Government bodies that may require us to report processing activities.
We require all third parties to whom we transfer your data to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions. We would not transfer your personal data outside the European Economic Area without your specific consent.
Data Security
We have put in place security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We also allow access to your personal data only to those employees and partners who have a business need to know such data. They will only process your personal data on our instructions and they must keep it confidential.
We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach if we are legally required to.
Data Retention
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. When deciding what is the correct period for keeping the data, we look at its amount, nature and sensitivity, potential risk of harm from unauthorised use or disclosure, the processing purposes, if these can be achieved by other means and legal requirements. For tax purposes the law requires us to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers. In some circumstances we may anonymise your personal data for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
Your Legal Rights
Under data protection laws you have rights in relation to your personal data that include the right to request access, correction, erasure, restriction, transfer, to object to processing, to portability of data and (where the lawful ground of processing is consent) to withdraw consent. You can find out more about these rights on the ICO website. If you wish to exercise any of the rights set out above, please email us. You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive or refuse to comply with your request in these circumstances.
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests as quickly as practicable, and usually within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you.
If you are not happy with any aspect of how we collect and use your data, you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues. We should be grateful if you would contact us first if you do have a complaint so that we can try to resolve it for you.
Mailing Lists
Much of the Statement above applies mainly to clients of MPPR – the drivers, teams, manufacturers and other individuals to whom we have contracted to supply our PR services. Those who receive news, race reports and other PR emails from us also need to be aware of the following Policy Statements.
PR Communications
Our lawful ground of processing your personal data to send you our PR communications is either your consent or our Legitimate Interests (namely, to facilitate the effective processing of our business and services).
Under the Privacy and Electronic Communications Regulations, we may send you these communications if (A) you asked for information from us about our services or the clients we serve, (B) you signed up to receive communications from us, or (C), you have made a personal request, face-to-face, to be added to one of our client’s Mailing Lists, and in each case you have not opted out of receiving such communications since then.
Under these regulations, if you are a limited company, or we have on file a generic, anonymous email address that does not identify you as an individual, we may send you emails without your consent. However you can still opt out of receiving marketing emails from us at any time.
Before we share your personal data with any third party for their own purposes we will always obtain your express consent.
You can ask us to remove you from our Mailing List at any time by using the Unsubscribe option that is included at least once in every email we send. You may also opt-out by Contacting us through this website and requesting to be unsubscribed, or by sending us an email with “Unsubscribe from Mailing List” in the subject line. In this event, please be sure to clarify which Mailing List you wish to be removed from – one specific list, or all of them – and which email address you wish to have removed if it is not the one you have used to contact us.
If you opt-out of receiving email communications from us we will cease to include your details in our Mailing List. However, this does not necessarily mean that all the personal data you have provided to us will be deleted, and we may retain such data as relates to other business interaction between us, such as emails, address details and so forth.
Our Mailing Lists are facilitated by a third party: MailChimp. It is possible for a subscriber to update, amend or modify the data held there at any time. We encourage subscribers to do this, so that we can more accurately assess their interests, and minimise the possibility of sending them information which is not relevant. Please look for the “update your preferences” link at the foot of all the emails we send.
Our Mailing Lists are carefully managed to ensure that recipients receive emails that are of genuine interest to them and relevant, or to which they have specifically subscribed. However, we also operate a number of broad-based Mailing Lists that cover a wider spectrum of interests, such as “Le Mans 24 Hours”, “Sportscar Racing”, “British GT”, and so forth. On occasions, this may lead to the duplicate listing of individuals who work or who have interests that encompass not only the specifics of an individual driver or team, but also more general aspects of the sport. This can lead to some emails being delivered more than once to a single address, and for this we ask for your understanding. If you believe this may apply to you, and you wish to unsubscribe from a Mailing List, please be sure to clarify which List(s) you wish to be removed from.
